Refund & Cancellation Policy

This Refund and Cancellation Policy outlines the terms under which Air Services Tech ("we," "our," or "us") provides refunds and handles cancellations for our technology consulting and digital services. By engaging our services, you agree to the terms set forth below.
1. Scope of This Policy
This policy applies to all services offered by Air Services Tech, including but not limited to:
- Web Development (custom web applications, enterprise portals)
- Cloud Solutions (migration, infrastructure management)
- AI & Machine Learning solutions
- DevOps services (CI/CD, containerization)
- IT Consulting and strategic advisory engagements
2. Project-Based Engagements
2.1 Discovery & Scoping Phase
Fees paid for initial discovery, scoping, and project assessment phases are generally non-refundable once work has commenced. This work product — including technical assessments, architecture proposals, and project plans — will be delivered to you regardless of whether the full project proceeds.
2.2 Milestone-Based Projects
For projects structured around milestones:
- Payments made for completed milestones are non-refundable.
- If you cancel a project before a milestone is reached, you will be billed for work completed up to the cancellation date, calculated at our standard hourly rates.
- Any overpayment beyond the value of work completed will be refunded within 14 business days.
2.3 Fixed-Price Projects
For fixed-price engagements:
- Deposits (typically 30–50% of the total project value) are non-refundable and secure your spot on our development schedule.
- Subsequent milestone payments are non-refundable once the corresponding milestone has been delivered and accepted.
- If we are unable to complete a fixed-price project due to reasons within our control, we will provide a prorated refund for work not yet completed.
3. Retainer & Ongoing Service Agreements
3.1 Monthly Retainers
For clients on monthly retainer agreements:
- Retainer fees are billed in advance and cover a defined scope of work or hours for that billing period.
- Unused hours or services within a billing period do not carry over and are non-refundable unless expressly agreed upon in writing.
- You may cancel a retainer agreement by providing 30 days' written notice. Fees for the notice period are non-refundable.
3.2 Annual Contracts
For clients on annual service contracts:
- Annual contracts may be cancelled with 60 days' written notice.
- Upon cancellation, you will be credited for any unused full months remaining on the contract, minus a 15% early termination fee.
- No credit is issued for partial months.
4. IT Consulting Services
Consulting sessions and advisory engagements that have been delivered are non-refundable. If you need to reschedule a consulting session:
- Cancellations made more than 48 hours in advance may be rescheduled at no charge.
- Cancellations made within 48 hours of the scheduled session will be charged at 50% of the session fee.
- No-shows without prior notice will be charged the full session fee.
5. Software Licenses & Third-Party Services
We may procure software licenses, cloud infrastructure subscriptions, or other third-party services on your behalf as part of a project. These purchases are governed by the refund policies of the respective vendors and are generally non-refundable. We will pass through any refunds received from vendors to you, less any administrative fees incurred.
6. Defects & Warranty Period
We stand behind the quality of our work. After delivery of any project:
- We provide a 30-day warranty period during which we will fix bugs or defects in our deliverables at no additional charge.
- Warranty coverage applies to defects in the original scope of work. It does not cover changes in requirements, third-party API changes, or new feature requests.
- Beyond the warranty period, fixes and modifications are billed at our standard rates.
If a critical deliverable fails to meet the specifications agreed upon in the Statement of Work, we will work in good faith to remedy the issue. If we are unable to do so within a reasonable timeframe, a partial or full refund may be negotiated for the affected deliverable.
7. How to Request a Refund
To initiate a refund request, please contact our billing team:

- Step 2: Include your name, company, invoice number, and a description of your request.
- Step 3: Our team will acknowledge your request within 2 business days and respond with a determination within 7 business days.
Approved refunds will be processed within 10–14 business days to the original payment method.
8. Disputes
We are committed to resolving any concerns amicably. If you are dissatisfied with a service outcome, we encourage you to contact us directly before initiating any chargeback or dispute with your payment provider. Chargebacks initiated without prior communication may result in suspension of services and recovery efforts.
9. Force Majeure
We shall not be liable for delays or non-performance caused by events beyond our reasonable control, including natural disasters, government actions, internet outages, or other force majeure events. In such cases, we will work with you to reschedule or restructure the engagement appropriately.
10. Changes to This Policy
We reserve the right to update this Refund and Cancellation Policy at any time. Changes will be posted on our website and will apply to new engagements entered into after the updated effective date. Existing contracts will be governed by the policy in effect at the time of signing.
